Edvak EHR allows providers to electronically prescribe controlled substances (EPCS) once specific regulatory and security requirements are completed. This guide outlines the complete process, including user setup, identity proofing, and enabling controlled substance prescribing permissions.
Step 1: Adding Provider User Accounts
Before activating controlled substance prescribing, the provider must be properly added to the system.
How to Add a Provider:
- Go to Settings
- Select User Management
- Click the + (Create User) icon
- Select Provider
- (Note: The number of providers allowed depends on the license purchased from Edvak.)
- Enter all required provider information and click Next
Service Levels Setup
- Under Service Levels:
- Enter the provider’s DEA number
- Select All in the Service Levels dropdown
- Ensure the E-Prescription permission checkbox is enabled
- Select Provider as the User Type
- This enables all provider-related permissions
- Practice Admins can further customize permissions if required
- Click Next and then Save
The provider account is now created.
Step 2: Enabling Identity Proofing (Required for Controlled Substances)
⚠️ Identity Proofing is mandatory for any provider prescribing controlled substances.
Process:
- Once the provider account is fully set up, the Practice Point of Contact must inform the Account Manager.
- Edvak will enable the Identity Proofing option within 24 hours.
How Providers Complete Identity Proofing:
- Go to Settings
- Click My Profile
- Look for the “Start Identity Proofing” banner
- Complete the identity proofing process
✔ Identity proofing must be successfully completed before proceeding to controlled substance activation.
Step 3: Enabling Controlled Substance Prescribing Permissions
After identity proofing is completed, follow the steps below:
3.1 Setting Up a Nominee (Two-Factor Approval Requirement)
A Super User must assign a nominee who will approve the controlled prescribing permission.
Steps:
- Go to Settings
- Click Practice Settings
- Scroll to E-Prescription of Controlled Substances
- Select a provider who has completed Identity Proofing as the Nominee
3.2 Enable EPCS Permission for the Provider
- Go to Settings
- Click User Management
- Edit the provider’s user account
- Navigate to Permissions
- Go to Clinical Access Setup
- Toggle ON:
- Enable E-Prescription of Controlled Substance
- Click Next and then Save
3.3 Nominee Approval Process
Once the permission is enabled:
- The nominee provider will receive a notification.
- Notifications can be found under the Bell icon in the top-right corner of the dashboard.
- The nominee must click the Check (Approve) icon.
3.4 Two-Factor Authentication (Security Verification)
After clicking approve:
- The system will prompt the nominee to enter their 4-digit security PIN
- (This PIN is configured in User Management.)
- Entering the PIN triggers an authentication request via the Twilio Authy app on the nominee’s mobile device.
- Once authenticated, the controlled substance prescribing permission is activated.
Final Step: Prescribing Controlled Substances
After successful approval and authentication:
✔ The provider is now authorized to prescribe controlled substances through Edvak EHR.
